Tools in the Event Management Package

Announcements tool:

Create and share announcements, raise awareness to key messages and provide a new way to deliver news or even marketing content to participants. 

 Use the built-in tutorial for real-time guidance.

Using the Announcement tool:

If your Announcement tool contains multiple announcements, they will be displayed in list form.  Select an announcement from the list to view the announcement details.

Select the back icon to return to the announcement list.

Tip:  If the Announcement tool has been updated in a published workspace, participants will receive a notification and the alert icon will display in red.

Managing the Announcement tool:

Select the manage icon in the tool’s footer to add and manage announcement content and features.

If your Announcement tool contains existing announcements, these will be displayed in a list for you to manage.  If there are no existing announcements you will be brought directly to the add announcement form.

Select the add icon to add a new announcement.

Add an announcement title and description.

Enhance your announcement with an image by selecting the SELECT IMAGE button, or drag and drop the desired image into the designated space.

Select the SAVE button to save the announcement.

Select the CLEAR button to clear the form.

If your Announcement tool contains existing announcements, select the BACK TO ANNOUNCEMENTS LIST button at any time to return to the list of announcements.

Tip:  Adding and editing announcements in the Announcement tool within a published workspace will send a notification to assigned users.


Calendar tool:

Notify participants of events through Calendar and allow them to register for events and share their attendance with peers, teammates and facilitators.

 Use the built-in tutorial for real-time guidance.

Using the Calendar tool:

If your calendar tool has upcoming events they will display on the right. Change your display to see events by day, week or month.

Select a date in the past to see previous events.

Select an event to view the events details, register for an event and see the users who have registered.

To register for an event, select the REGISTER button.  To unregister from an event select the UNREGISTER button. 

Select the back icon to return to the calendar view.

Tip:  If the Calendar tool has been updated in a published workspace, participants will receive a notification and the alert icon will display in red.

Select the manage icon in the tool’s footer to add and manage calendar events and features.

If your Calendar tool contains existing events, these will be displayed in a list for you to manage.  If there are no existing events you will be brought directly to the add event form.

Select the add icon to add a new event.

Add an event name, description, as well as start and end dates and times.

Allow users to register for events by checking the checkbox.

Select the SAVE button to save the event.

Select the CLEAR button to clear the form.

Guidebook tool:

When participants travel for remote training, events or residency programs, or to provide a new way to present information, Guidebook offers a way to provide real time information about the location, logistics, points of interest, and participant schedules that can be shared with others. Guidebook can be used for any information that you want to organize better, and manage live.

 

 Use the built-in tutorial for real-time guidance.

Using the Guidebook tool:

Each topic in your Guidebook tool will be displayed as a left tab.  Select tab to view the topic details.

Managing the Guidebook tool:

Select the manage icon in the tool’s footer to add and manage guidebook content and features.

If your Guidebook tool contains existing topics, these will be displayed in a list for you to manage.  If there are no existing topics you will be brought directly to the add topic form.

Select the add icon to add a new topic.

Select a topic icon and add a topic title.

Enhance your topic with a banner image by selecting the SELECT IMAGE button, or drag and drop the desired image into the designated space.

Design your topic content in the rich text editor by adding desired fonts, colors, images, videos and links.

Select the SAVE button to save the topic.

Select the CLEAR button to clear the form.

If your Guidebook tool contains existing topics, select the BACK TO TOPIC LIST button at any time to return to the list of topics.


Itinerary tool:

Keep participants up-to-date on travel schedules, accommodations, events or other agenda items in one place, real time, on any device. Combine other tools in a workspace to complement the Itinerary tool such as the Reader for travel literature, Notes for journaling, and Tasks or Guidebook for a trip planner.

Using the Itinerary tool:

If your Itinerary tool contains multiple itineraries, they will be displayed in list form by date.  Expand and Contract desired dates to focus on specific dates. Select an itinerary from the list to view the event details and map.

Select the back icon to return to the itinerary list.

Managing the Itinerary tool:

Select the manage icon in the tool’s footer to add and manage itinerary and features.

If your Itinerary tool contains existing itineraries, these will be displayed in a list for you to manage.  If there are no existing itineraries you will be brought directly to the add event form.

Select the add icon to add a new itinerary.

Add an itinerary type and select an appropriate icon.

Give your itinerary a name, description, time zone, start time and optional end time.

Add a location to your itinerary.

Select the SAVE button to save the event.

Select the CLEAR button to clear the form.

If your Itinerary tool contains existing itineraries, select the BACK TO ITINERARIES LIST button at any time to return to the list of itineraries.


Photoshare tool:

Inspire comradery and creativity by allowing participants to take and upload photos in the moment. Tag, share and organize photos and images to enhance projects and document experiences.

Using the Photoshare tool:

If your Photoshare tool contains multiple albums, they will be displayed in list form.  Select an album from the list to view the photos in the album.

Select the grid icon to view photos within an album in grid format.

Select the list icon to view photos within an album in list format.

Select the search icon to search photos by tag or caption.

Select a photo to view to view it’s insights including who added it, when, the photo’s caption and tags.

Select the back icon to return to the list of photos or albums.

Managing the Photoshare tool:

Select the manage icon in the tool’s footer to add and manage albums, photos and features.

If your Photoshare tool contains existing albums, these will be displayed in a list for you to manage.  If there are no existing albums you will be brought directly to the add album form.

Select the add icon to add a new album.

Select an album title.

Add photos by selecting the UPLOAD PHOTOS button, or drag and drop the desired images into the designated space.

Tip:  Select multiple photos and drag and drop for multi-file upload.

Add optional caption and tags to each uploaded photo photo.

Remove the photo from the album by selecting the remove icon and confirming.

If your Photoshare tool contains existing albums, select the BACK TO ALBUM LIST button at any time to return to the list of albums.
